The Operations Coordinator assists in the overall management of Memory Lanes and serves as the facility supervisor when the Bowling Center Manager is not on duty. This position is primarily responsible for coordinating, promoting, and securing party room rentals, birthday celebrations, and school/collegiate group bookings, while ensuring quality service delivery. The Coordinator also provides support across facility operations, assists with staff supervision, and ensures smooth day-to-day operations in collaboration with the Bowling Center Manager.

Job Scope:
Reporting to the Bowling Center Manager, the Operations Coordinator supports the daily operations of the bowling facility and league management, with specific responsibility for rentals, group bookings, and customer service coordination. The position has limited supervisory authority over Bowling Center Leads and part-time staff when acting as the supervisor on duty, and works closely with the Kitchen Supervisor to ensure party and rental food needs are met. Work requires daytime, evenings, weekends, holidays, and varied hours to meet operational needs.
Essential Duties and Responsibilities:

- Assist the Bowling Center Manager in league management and tournament operations, as needed.
- Coordinate, promote, sell, and manage party room rentals, birthday celebrations, and school/collegiate group bookings.
- Serve as facility supervisor when the Bowling Center Manager is not on duty, including authority to address customer issues and staff performance.
- Provide support and authority to Bowling Center Leads to ensure building operations run smoothly.
- Develop and maintain strong relationships with schools, teams, and community groups to increase rentals and group usage.
- Collaborate with Kitchen Supervisor to coordinate food/snack service for parties and rentals.
- Ensure rental spaces are clean, prepared, and set up according to client expectations.
- Prepare and manage schedules for assigned staff, review and approve timesheets to ensure accurate payroll processing.
- Assist with onboarding, training, and ongoing support of part-time staff.
- Monitor and enforce cash-handling, safety, and customer service procedures.
- Maintain accurate rental records, reports, and customer contact information.
- Assist with marketing efforts and promotions for rentals and group sales.
- Provide support for special events, tournaments, and facility activities as assigned.
- Respond quickly to customer concerns, safety issues, or emergencies.
- Perform other duties as assigned.
Condition of Employment:
- Must successfully complete a pre-employment drug screen and agree to be subject to random drug screen throughout employment.
- Must pass a Background Criminal Investigation check.
- Must be willing and available to work early morning, morning, afternoon, evening, weekend, and holiday shifts as scheduled by immediate supervisor.
- CPR/AED and standard First Aid certification required within 60 days of employment.
Minimum Qualifications:
- High school diploma or equivalent required; some college coursework in Recreation, Hospitality, or Business preferred.
- At least 1 year of customer service, event coordination, or facility operations experience required.
- Prior experience in sales, rental coordination, or recreation programming preferred.
- Valid Driver’s License.
Necessary Knowledge, Skills and Abilities:
- Working knowledge of data entry into the computer, and knowledge of telephone etiquette.
- Skill in handling cash transactions, operating cash register, and giving correct change.
- Ability to establish and maintain effective working relationships with employees and the public; ability to communicate effectively, verbally and in writing; ability to follow written and verbal instructions.
- Knowledge of facility operations, rentals, and customer service practices.
- Strong interpersonal and communication skills for working with diverse patrons and groups.
- Ability to promote and sell rentals and group bookings.
- Basic financial and recordkeeping skills, including handling cash and monitoring expenses.
- Ability to supervise and support part-time staff effectively.
- Strong organizational skills with attention to detail.
- Proficiency in scheduling and reservation software, POS systems, and Microsoft Office.
Guidelines:
Guidelines include city and department policies and procedures, Health Department codes, and American Red Cross guidelines. Work is performed in accordance with departmental policies, rental agreements, safety protocols, and industry standards. Independent judgment is required in customer service, rental coordination, and supervision of staff while on duty.
Complexity:
The work involves balancing building supervision, rental sales, and customer service responsibilities in a busy, public-facing recreation facility. The Coordinator must manage competing demands, respond to customer and staff issues, and maintain facility standards during high-volume operations.
Principal Working Relationship:
Internal: Bowling Center Manager, Kitchen Supervisor, Maintenance Supervisor, Bowling Center Leads, part-time staff
External: Rental clients, school groups, sports teams, vendors, and members of the public.
Purpose of Contacts:
Contacts are made to coordinate rentals, resolve customer service issues, support staff, and promote group usage of the facility.
Physical Demands:
Work involves frequent standing, walking, bending, and lifting up to 25 pounds. Duties may include moving tables, chairs, or equipment for rentals and events. Extended use of computers and phone is required for scheduling and customer service.

Supervisory and Management Responsibility:
Provides direct supervision to Bowling Center Leads and part-time staff when the Bowling Center Manager is not on duty. Has authority to address staff conduct, reassign tasks, and resolve issues during assigned shifts, while maintaining communications with the Bowling Center Manager.
